Signing on a new fundraiser, finding out more about your team's statistics of last week or reaching a special achievement in the Gamification feature - all these can trigger emails sent automatically by the Formunauts app. We have collated a list of email types in our system, so you can get an overview.
Emails to donors
Welcome email with PDF mandate
You can define a header image, the content and even take a strong influence on the html design of these emails. You can also define customized text snippets depending on the payment method (for example credit card or direct debit).
The PDFs are generated mostly automatically, but you can add extra text and send us a picture you'd like us to add.
If you want to test the e-mail to your supporters after the donation, you can either fill in a test donation with your email address or send us a message at email@example.com and we will forward you the email directly.
Emails to fundraisers
Welcome email as user
When you first create a user for a new fundraiser, they will receive an email welcoming them to the app and notifying them of their password. The email is the same, regardless if the fundraiser is also team leader or coach.
You can test this by creating a new fundraiser with an email address you have access to.
You can decide if you'd like your fundraisers to receive automatic reports created from their statistics of the past week. The values shown are taken from the widgets shown on the fundraiser dashboard, however you can select if all should show up in the report or none.
Emails to recruiters
Welcome email as "jobscout" user
When you first create a user for a new recruiter, they will receive an email welcoming them to the app and notifying them of their password. The email is the same, regardless if the recruiter is also team leader or coach.
You can test this by creating a new recruiter with your email address.
Notification of new application
The recruiter receives an email if a new job application was saved.
The applicant receives an email if a new job application was saved.
If you want to test the e-mail sent to your new applicant, you can either fill in a test application or send us a message at firstname.lastname@example.org and we will forward you the email directly.
Emails to team leaders and / or coaches
Gamification achievement unlocked
We can add email recipients who will then receive notifications when achievements of your choice are unlocked by a fundraiser.
Although the training center is, technically speaking, a third-party-service, we can also trigger notification emails to the relevant coach when a training is concluded. If and who receives the emails is a setting you can edit for each quiz in ProProfs, doing the following:
Login to ProProfs --> Go to the quiz settings --> Notifications --> "Send me an email when someone takes my quizzes." --> "Yes"

Notification new CSV export is available
Administrators can receive an email every Monday with a download link for the statistics of
- the results of all fundraisers, teams and campaigns that had a workshift in the week before.
- all team reports
- donor & supporter details
Gamification achievement unlocked
Alongside the coaches, also administrators can receive notifications when the relevant achievement is reached by a fundraiser.
Again, just as the coaches, a completed training can trigger notification emails to the relevant administrator.
Donor detail exports
If you want to download multiple PDFs (or multiple donations in CSV/XLSX format) in the admin interface, they will be generated on the server. When done you will receive the download link per email.
Notification from the Donor Feedback Quality Widget
If a donor changes their details (name, address, etc) through the quality widget the administrators of your account receive an email notifying you of the change with a link to the donation in the backend.
Warning before anonymization
A warning email is sent to customer admins with a list of all the donations, petitions and job applications which have been exported, 7 days before they are automatically anonymized. The list is checked and sent every Monday at 5 a.m.
Warning when number range is reaching an end
If you define a number range in a campaign a warning email is sent to all customer admins, when the campaign is almost out of available numbers. The warning email is sent when only 20%, 15%, 10%, 5%, 3%, 2%, 1% of the available addresses are still available. If they run out, the Formunauts app will automatically assign new ones generated by the Formunauts system. They will not match your number range, but will ensure that your donations can be uploaded and have a unique ID.
Only valid for customers that import retention data
When contract retention data is imported via sharefile is successful (triggered everyday at 11 pm) a notification email is sent. This can be enabled/disabled by campaign. Also in the campaign there can be set one or many email addresses to send the notification to.
Writing our support team from the app
If fundraisers are having technical trouble or something isn't working as intended they should always contact their coach or their office team, but they can also contact us through the app. All they need to do is click on their profile image and choose "Help". This will trigger an email to the Formunauts support team. If you, as a fundraiser, use this feature, please make sure to describe your issue as well as possible so we can help you out as quickly as possible.
It can always happen that a password is forgotten. For fundraiser we have added a "Forgot password?"-link at the bottom of the page and they will receive an email with further instructions.

Petitions or job applications without a team
If a petition or job application was uploaded without a team (this is only possible if won by coaches) we at Formunauts Support will receive an email to check the dataset in the admin interface and inform you. This is nothing more than a precaution to ensure, you really do not lose any of either.
Staffcloud import error
When there is an error in the Staffcloud import an email is sent. The email addresses the notification is sent to can be configured by Formunauts in your customer account.
